Royal Melbourne Show - Rotary Volunteer and Family of Rotary Day Info
The Rotary Clubs of Canterbury and Southbank are this year hosting a public stall for Rotary at the Royal Melbourne Show, between the 17th and 27th of September. In return for giving Rotary the stall at the show, the Royal Show folks have asked us to provide volunteers for the Great Tasting Experience stages in the Main Pavilion.

Where and When do I collect my Free Day pass to get into the show? -
Rotarians: The key contact for your Club will receive the passes. They will have your pass at your next Club Meeting. If you can't make that meeting, please contact them directly about collecting your pass.
Friends of Rotary: The Rotarian that made the initial contact with you - or Gerry Cross - Will contact you about collecting your Pass.

Where and when do I report to on my Rostered Day? Directions to the Rotary Stand and Great Tasting Stages
Both the Rotary Stand and the Great Tasting stages are in the Grand Pavilion - For a Grand Pavilion Map Click Here.
Rotary Stand is Stand Number 28 in Grand Pavilion. No need to report to anyone, just wear your Rotary Shirt and start telling folks about Rotary. Please read the Procedures Manual on the Stand.
Great Tasting Stages are in the middle of the Grand Pavilion - For a Grand Pavilion Map Click Here. Go to the Rotary Stand (number 28 as above) first - sign in, read the OHS and procedures and collect your Rotary Shirt. Then go to the Tasting stages and Report to Sally or Geordie Thoms (RASV Staff member) Ph:0417 567 607 . Sally or Geordie will give you a briefing on your duties.
Volunteers may enter at any gate to enter the show and then go to the Grand Pavilion. For a Show Map, Click Here.
What will my duties be?
Rotary Stand Volunteers Duties - Rotarians, on the day that you volunteer, go to the Rotary Stand 10 minutes before your shift starts. A Rotary Shirt will be there for you to wear, please wear them so that we maintain a consistent image to the public. Please wear your Rotary Club Dinner badge. Please Read the Procedures manual on the stand.
Duties:
- Have Fun
RASV Show Trail Show Bags/Books:- Mark off our stand (N) on the Guide the patrons present and give them a Book - more books under the table or phone brett - number in procedures manual.
- Hand out Rotary brochures to potential Rotary members.
- When a Patron requests a Blood pressure test, queue them with the Nurse and request a gold coin DONATION to Rotary projects - if they say no, that's OK, thank them and have the nurse do the test. Rotarians must NOT do any blood pressure testing - only the Nurse
- Offer Aussie Pride badges for sale - Show special $3 usually $5
- Request Donations for:
- Rotary Foundation - Donations over $2 if they want a tax receipt - Complete all details on forms on back table for tax Deductible receipt that will be sent to the donor. They can choose which Foundation program. Or suggest Polio Challenge.
- Shelter Box - Donations over $2 if they want a receipt - Complete details on forms on side table. Tax receipt will be sent.

- - Tell Show Patrons about Rotary and our great Projects
- - Talk about Rotary Foundation programs they can be part of: Group Study Exchange, Ambassadorial Scholar, Peace Fellowship... etc.
- - Talk about the great work Rotary Does with ShelterBox
- - Talk about our Youth programs: RYLA, RYPEN, Rotaract, MUNA, National Youth Science Fair, Youth Exchange... etc.
- - Talk about your own Club projects
- - Tell them about your Club's social and Fellowship activities/functions
- - Invite them to a Rotary Meeting to see if Rotary might be something they would enjoy being part of.
- - Rotary Attendance Book. If any members of the public are interested in finding out more about Rotary, they can add their contact details (name, phone number and email address) to the attendance book provided.
- - More brochures and everything else is under the back table.Have Fun!!
Great Tasting Volunteers Duties - Please read the Procedures Manual on the Rotary Stand. On the day that you Volunteer please Go to the Rotary Stand (number 28 as above) first - sign in, read the OHS and procedures and collect your Rotary Shirt and Apron. Then go to the Tasting Stages in the Grand Pavilion 15 minutes before your shift starts and report to Sally or Geordie Thoms (RASV Staff member) Ph:0417 567 607 . Sally or Geordie will give you a briefing on your duties. After you complete your shift, please LEAVE the Apron back at the Rotary stand for the next Volunteer.
Friends of Rotary and Rotarians on the Great Tasting Experience Stages:
- Have fun listening to some well known Chefs talk about cooking and then taste their work
- Hand out the cooking samples to show patrons after the demonstration
- Have fun listening to specialist Wine, Beer and Coffee makers discuss their products and taste their products
- Return used glasses and plates to the preparation area after the patrons leave.
- Help with the washing up of plates, utensils and glasses.

Insurance
The Rotary Insurance covers all Rotarians and our non-Rotarian volunteers for their volunteering times at the show.
Vehicle Parking
Parking
Parking is not available onsite during the Show. Parking is available at the following locations during the Show:
• Victorian Racing Club (VRC) at Flemington Racecourse, Epsom Road, Ascot Vale for $15 per day (subject to change). The VRC offers RASV Members $8 parking for the duration of the Show.
• Ascot Vale West Primary School, located in Langs Road opposite the Showgrounds, sells car parking spaces for the duration of the Show or daily passes. For details and bookings phone (03) 9370 8784 prior to 11th September and 0411 314 600 after 11thSept 2009.
- Permanent Pass - $250.00 for duration of Show
- Casual Daily Pass - $20.00 per day
Disabled Parking
Special parking facilities for disabled persons are available at Flemington Racecourse near the underpass to the Showgrounds. Wheelchairs can access all pavilions and the Coca Cola Arena.
Family of Rotary Day - Sunday 20 Sept - Information
Sunday 20 Sept at the show is Family of Rotary Day. We have arranged that for ALL Rotarians visiting the Show on Sunday 20 September, we have a Family of Rotary function room available for you to rest your feet and purchase tea, coffee, wine, beer and light food. Come to the function room on the mezzanine level of the Victorian Government Expo building - location H3 on the Show map Page 2 Click Here. Enter the building from the Town Square and go up to Mezzanine level.
The room will be open from 11:00am to 6:00pm Sunday 20 Sept. Simply show your Rotary pin or dinner badge to gain entry for you and your family - You MUST show your Rotary pin or Dinner Badge to gain entry so don't leave it at home!.
General Information:
We seek your help as a volunteer on the Great Tasting Experience stages. In return you will receive a FREE Show entry ticket for the day that you volunteer. Your duties as volunteer will be to provide food and drinks to the show patrons who come to the presentations. You can have your family and friends (18 yrs of age or older) volunteer with you and have a fun day together at the show - the entry on that day is FREE thanks to Rotary and the RASV.
The Great Tasting Experience is located in two controlled auditoriums with seating for about 40 per stage, where food preparation and tasting will be held. In one Master Chefs will prepare and offer tastes of dishes every half hour. Then on the next half hour there will be Wine, Beer and Coffee tastings to show case Victorian and Australian products in the adjoining auditorium. Both these opportunities are a chance to participate in exciting food and beverage presentations, topics in which we are all interested. For the Great Tasting Experience there will be 88 shifts of 4.5 hours with shifts from 10 am to 2.30 pm and 2.30pm- 8.30pm with teams of 4 people per shift. The days of the Great Tasting Experience are 17th Sept through to 27th Sept inclusive. To assist with the scheduling of shifts, if you can help, could you please submit 3 preferred shift dates and times (AM or PM Shift) during the course of the Show during which you would be able to volunteer. If you are able to volunteer on a weekday, we encourage you to do so, as there will no doubt be others unable to. Remember, all volunteers will be provided with FREE entry, a Rotary Royal Melbourne Show apron and cap.
Key tasks are likely to be:

This Rotary Stall and the Great Tasting Volunteers will expose Rotary to thousands of prospective members, supporters and corporate sponsors and will be a key way in which we showcase projects such as Polio Plus and ShelterBox to the community. It's a great opportunity for you to help us give Rotary fantastic public exposure.
